The Role

Join us as an Administrative Assistant. In this role, you will inform, organize, and coordinate key administrative processes within BSB. Working alongside colleagues in the School of Wine & Spirits Business, you will manage the administrative operations of the programmes within your scope and support students throughout their academic journey — from enrolment to graduation — ensuring smooth operations, reliable information, and effective coordination between students, lecturers, and internal teams.

Key Responsibilities

As an administrative professional, you will play a central role in the smooth running of BSB programmes. Your responsibilities will include:

Monitoring the full administrative lifecycle of students, from application through to graduation, including enrolment, file management, attendance, grades, and data entry in information systems.

Organizing and coordinating major programme milestones, particularly intake periods, onboarding, events, and coordination with lecturers and internal support departments.

Managing day-to-day programme administration, including course scheduling, distribution of teaching materials, and communication with students and lecturers.

Organizing and overseeing exams and assessment boards, including logistics, exam follow-up, and collection and processing of results.

Coordinating academic and logistical projects, such as study trips, field trips, and events in France and abroad.

Supporting quality assurance and accreditation processes by collecting, validating, and maintaining reliable data.

Contributing to department life and cross-functional projects, including events, ceremonies, and development initiatives.

Candidate Profile

You have a strong interest in administrative management and are ready to work in an international, fast-changing environment.

Required Qualifications and Experience

  • Bachelor’s degree (or equivalent three-year higher education qualification) in Administrative Management, SME/Small Business Management, or a related field.
  • Proficiency in Microsoft Office tools, especially Word (including mail merge), Excel, Teams, and PowerPoint, as well as collaborative digital tools.
  • English proficiency at minimum B2 level.
  • At least 10 years of experience in a similar role.

What We Offer

  • Salary: Starting from €26,000 gross per year, paid over 13 months, depending on profile and experience.
